Introduction

To process your Truffle Herefordshire membership, we need to ask for, store and use some personal information. This Privacy Policy explains what information we need, why we need it, who we share it with and how long we keep it for. It also explains our use of Cookies.

This Privacy Policy does not fully cover business listings on the website because they are not regarded as “personal information” for the purposes of the relevant legislation.

Browsing the website

We do not store any information as you browse around the website.

However please refer to the Third Parties section below for details on information that may be collected and stored by third parties.

Truffle Herefordshire membership

We store all the information you entered on our website during the signing up process, along with your IP addresses. This information is stored for as long as you remain a member.

If you opt in to receiving our emails we will use your email address and other details to send you promotional emails. You may opt out of these by clicking the links contained in the emails, or by replying to one of the emails with “unsubscribe” as the subject. If you have any difficulty unsubscribing, please contact us by email and we will take care of this for you.

If you write reviews for any of the listed businesses, we will store the membership card number you enter along with the review but do not show this on the website. This allows us to monitor potentially problematic reviewers, and occasionally to contact you for further information or clarification. Your reviews are stored indefinitely, unless you ask us to delete them.

Email correspondence

If you email us about your membership or any other matter, we will retain this email correspondence for six months, unless you ask us to delete it. This is sufficient time to deal with any follow-up queries etc.

Information shared with third parties

We do not share your membership information or any other identifiable information about you with anyone else.

We use Google reCaptcha to verify that you are a human when applying for a card, when leaving a review, when contacting us and when adding a business. We use Google Analytics to track website visitor numbers, page popularity and other similar data. Google will use your IP address and a cookie to track this. The information available to us from Google Analytics is aggregated and anonymised, which means we cannot identify you as an individual. If you wish to block access to Google’s cookies in your web browser this will not affect your ability to order from our website. Where we store your personal information

All the personal data we hold is stored in the United Kingdom. Our web servers are in a secure data centre in Hemel Hempstead. Backups are stored on backup systems in secure data centres in Rugby and London Docklands. Emails and paperwork are stored in our offices in Hereford.

Cookies

Cookies are used and are required when you add a business, to track your progress and ensure your listing security. They will expire when you finish creating your listing. If you choose to block these cookies, then you will not be able to create a listing.

We use Google Analytics as detailed above, and their system uses cookies. If you wish to block access to Google Analytics cookies in your web browser this will not affect your ability to use this website.

Accessing, correcting, and deleting your personal information

If you wish to obtain the full personal information we hold, please email us at privacy@truffleherefordshire.co.uk. Please include your card number or sufficient other information to help us locate your details. We will gather the information and send it as PDF files by email within 30 days of your request. There will be no charge for this.

If having received this full information you require any corrections, please email us again at privacy@truffleherefordshire.co.uk. We will carry out the requested changes and send you the corrected parts only as PDF files by email within 30 days of your request. There will be no charge for this.

If you wish to have your personal information deleted from our systems, please email us at privacy@truffleherefordshire.co.uk. Please include your card number or sufficient other information to help us locate your details. We will carry out the requested deletions and confirm by email within 30 days of your request. There will be no charge for this. Your Truffle Herefordshire membership will be cancelled, so you must destroy your membership card.

If you wish to find out what personal information any of the third parties mentioned above hold about you, request corrections or deletion, please refer to their privacy policies and contact them as appropriate. We cannot act on your behalf as they will only accept your request directly from you.

Administration

Truffle Herefordshire is operated and administered by Herefordshire Council who act as data controllers.
